Nemours is seeking an Executive Assistant (ENT), Full-Time, to join our Nemours Children's Hospital team in Orlando, Florida.
Located in Orlando, Fla., Nemours Children’s Hospital is the newest addition to the Nemours integrated healthcare system. Our 100-bed pediatric hospital also features the area’s only 24-hour Emergency Department designed just for kids as well as outpatient pediatric clinics including several specialties previously unavailable in the region. A hospital designed by families for families, Nemours Children’s Hospital blends the healing power of nature with the latest in healthcare innovation to deliver world-class care to the children of Central Florida and beyond. In keeping with our goal of bringing Nemours care into the communities we serve, we also provide specialty outpatient care in several clinics located throughout the region.
This position is responsible for: Assists Nemours leaders by providing administrative support. Handles situations requiring knowledge of the overall function of the area of responsibility, the overall organization's mission, structure, and culture. Acts as central point of contact for other departmental Associates on departmental activities. Responds to inquiries and represents the leader in dealing with both internal customers as well as external contacts. Typical duties include maintenance of budget records; setting up meetings including meeting agendas; preparation of correspondence reflecting the wishes of the department and knowledge of the functions. May be assigned special projects.
Manages calendar, of department requiring knowledge of organizational priorities and schedules of all those involved. Arranges travel as needed.
Sets up meetings including agendas requiring a knowledge of the purpose of the meetings, organizational priorities, and confidentiality required. Ensures that attendees know of any pre-meeting work required. Compiles pre-meeting materials.
Prepares correspondence for appropriate signature as well as for own activities representing the department for both internal distribution as well as for external contacts such as vendors and other interested parties.
Prepares reports and presentations.
May be assigned projects requiring research, gathering data, analysis, and reporting on results, working both independently and as part of a team. For example, reporting on budget variances or looking for ways to improve administrative processes.
Maintains records for budget and other activities such as purchase orders and accounts payable requests, travel records, confidential reports. Prepares expense reports for travel and meetings.
Represents the department in dealing with both internal Nemours customers and external contacts. Answers questions or deals with problems independently as well as determines who to refer problems to. Keeps leaders informed about issues.
High School Diploma required. Associate's Degree preferred.
Minimum of one (1) to three (3) years' experience as an Executive Assistant required.
Proficiency in standard software applications including MS Word, MS Excel, MS Power Point and MS Outlook.
Strong organizational skills required.
Must be able to work independently and think creatively.
Must have the ability to work well with others.
Good communications skills and regular attendance are required.
